THE OPPORTUNITY:

The Administrative Services Coordinator supports the Office Administrator, local HR Manager and other office leaders by providing administrative support for their day-to-day responsibilities. Acts as a liaison to other Departments and provides back-up support to Office Receptionist. This is hybrid with 4 days onsite.

 

THE DAY-TO-DAY:

On any given day you will:

  • Assist in planning and coordinating internal and external office events, working directly with vendors and/or firm functional areas as necessary under direction of Office Administrator
  • Plan office engagement activities, work on event planning with Firm’s Business Resource Groups
  • Assist HR Manager with pre-hire tasks, initial on-boarding meeting, office tour, scheduling 90 day check in meetings, OnBase filing
  • Assist Office Administrator and HR Manager during evaluation season,
  • Process office invoices and expense reports, handle issues related to Chrome River
  • Maintain and update the office inSeyt page
  • Coordinate and oversee office popups, social and office engagement events
  • Update office lists (birthday, anniversary, new baby announcements, “Who to Call”, notary commision)
  • Maintain electronic Boston Bulletin Board, assist with office charitable events
  • Assist with logistics on firm roll-out programs and training sessions
  • Order baby gifts, funeral flowers, as requested
  • Manage the process for attorney bio photos for the office
  • Process mail for terminated employees
  • Serve as a point of contact for employee questions and a liaison to other departments
  • Draft, review and revise office email and written communication and documentation
  • Forward pertinent and time-sensitive information to Operations or Building Services
  • Provide back-up and break time coverage for Reception; meet and greet visitors to the office as needed
  • Assist OA with other tasks and special projects as requested

 

YOU HAVE:

  • Bachelor’s degree or equivalent experience.
  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems.
  • Demonstrates excellent and effective interpersonal and communication skills, both verbally and in writing.

THE OPPORTUNITY:

As a Billing Coordinator, you are responsible for all aspects of drafting and finalizing client invoices for a group of dedicated attorneys.

 

THE DAY-TO-DAY:

  • Coordinate with Partners, Attorneys and Secretaries to manage time entries and edits, adjustments, write-downs, rate management and bill posting.
  • Work directly with e-billing team to ensure that invoices that require electronic invoices are submitted timely.
  • Preparation and processing of high quality invoices. Prepare invoices in customized formats as required by clients and Partners. Perform override calculations and changes. Initiate requests for supporting documentation and review for accuracy.
  • Help to coordinate follow up on outstanding WIP and receivables. Work with assigned Partners to actively address aged unbilled fees and costs.
  • Assist Collections team with identification and reconciliation of payments received.
  • Provide basic financial data and analysis.
  • Work with billers and attorneys in other offices as needed.

 

YOU HAVE:

  • College degree preferred or equivalent work experience
  • 3-5 years of legal billing experience
  • Experience with Aderant strongly preferred
  • Proficiency in basic Microsoft Office
  • Excellent oral and written communication skills
  • Ability to prioritize effectively

Chicago: The full-time salary range for this role is $68,000 – $83,000 annually, which is based on a 35-hour work week.

As a case assistant in the firm’s dynamic and diverse, Labor and Employment Practice you will focus on immigration compliance projects including Form I-9 and E-Verify issues, as well as support with government investigations.

 

THE DAY-TO-DAY:

On any given day, you will be working with our Immigration Compliance Group's attorneys, team members, outside vendors and clients. You will:

As an e-Filing Specialist, you will be responsible for electronically filing documents in state and federal courts.  In this position, you will be part of a regional and national docketing team that provides support to the firm’s Los Angeles, Sacramento, San Francisco, Seattle and other domestic offices.

 

Daily Schedule: 11:00 am – 7:00 pm

 

THE DAY-TO-DAY:

On any given day, you will be working with your colleagues on a variety of requests and projects.  You will:

  • Know applicable court rules on how to electronically file documents in federal court using the cm/ecf system. When needed, file documents electronically after hours.
  • Be able to file documents in State and appellate courts.
  • Have subject matter expertise on the requirements to e-File documents in federal and state courts across the country.
  • Act as a liaison between the courts and the firm’s attorneys on procedural and technical matters.
  • Respond to procedural inquiries from attorneys.
  • Know how to research court case information to maintain an accurate record.

THE OPPORTUNITY:

Seyfarth Shaw is seeking a qualified, dynamic individual to take on the role of the Information Governance Manager, working under the direction of the Director of Information Governance, to be responsible for development and implementation of a broad range of strategic projects and initiatives relating to the adoption of effective data management practices. In this role you will be responsible for managing the Information Governance team, who coordinate and manage data across internal Firm departments and external sources. You will work closely with the Firm's Technical Service Group(TSG) to assist in the development of migration strategies to ensure the integrity of data during repository upgrades, changes and decommissioning. 

The position requires a deep understanding of information management including the tactical management of both physical and electronic records, as well as information management technology and systems, information security, and the ethical, legal and regulatory requirements for lawyers and law firms related to information.

 

THE DAY-TO-DAY:

On any given day, you will be working with firm leadership, partners, and business colleagues on a variety of requests and projects. You will:

  • Serve as a subject matter expert on project teams, perform data analysis and research assignments, documents results, make recommendations regarding information governance, and make oral presentations and written recommendations relating to these topics.
  • Design procedures to support Firm policies, client expectations, legal requirements and regulatory guidelines related to the governance of information. Develop and maintain documentation describing related Standard Operating Procedures (SOPs).
  • Develop and implement the necessary processes for the organization of electronic data for the purpose of applying the Firm’s retention policy and other disposition activities. Performs in-depth analysis on paper files and data repositories across the firm to identify those records that are eligible for destruction.
  • Coordinate with attorneys, Technology Service Group (TSG) managers, IG analysts, and outside parties, to manage and coordinate large-scale data transfers for attorney mobility and client file transfers. Design and implement quality controls to ensure information is securely transferred to and from external sources in a timely manner.
  • Oversee the “wall” technology used to secure information contained in the document management system and other firm repositories. Monitor software vendor website and ensure that timely upgrades are performed on system. Perform periodic audits of user access rights, including ancillary systems not connected directly to the “walls” technology.
  • Oversee the management of the legal hold process and coordinate the identification, collection and production of potentially responsive information in compliance with established policies and procedures.
  • Be responsible for overseeing the the work and ensuring compliance and accuracy of the information governance analysts on the team. 
  • Provide ongoing performance feedback to information governance team members based on meaningful performance metrics and customer feedback. 
  • Use data to analyze and optimize information governance processes to improve retention and disposition of records in alignment with Firm information governance policies. 
  • Set individual and team goals to ensure team members are highly productive and continue to develop the skills needed to meet the business demands of the firm. 
 

YOU HAVE:

  • A bachelor's degree or equivalent experience
  • Five years of work experience in a law firm or professional services environment is preferred. Three years of hands-on complex data analysis experience using SQL and advanced Excel functions is required.
  • Prior Supervisory experience is required.
  • Additional credentials such as Certified Information Governance Officer (CIGO), Information Governance Professional (IGP) or Certified Records Manager (CRM) a plus.
  • Experience with legal document management system, accounting system and archival software preferred. Expertise with M365, Purview, Visio, iManage cloud, iManage Records Management systems, and Intapp products a plus.
  • Advanced computer skills including Excel and an understanding of various data storage repositories and electronic document management software is required.
  • Working knowledge of general programming, software development concepts and issue tracking databases required.
  • Experience writing simple SQL queries and ability to join on multiple tables. SQL Reporting Services (SRS), PowerShell scripting, basic CMD prompt commands, SharePoint, electronic imaging and archiving a plus.
  • Ability to learn and efficiently utilize specialized project management and records management software. Familiarity with Boolean searching techniques.
  • Proactive and able to provide information and training and maintain effective relationships with a diverse group of attorneys, clients, staff, and contacts outside the Firm, in person, by e-mail and telephone with courtesy and diplomacy.
  • Flexibility to adjust hours and travel as needed.
  • This is a hybrid position that requires two days in the office.

Chicago: The full time salary range for this role is $120,000 to $140,000 annually.

THE DAY-TO-DAY:

On any given day, you will:

  • Assist with all aspects of discovery, including organizing documents, maintaining electronic databases and coordinating document productions, Bates-stamping, redaction, deduplication and indexing of documents. Position will work with Practice Support and e-Discovery groups on electronic productions. As directed, categorize documents by subject matter, prepare chronologies, create key document files. Research various aspects of the case for purposes of discovery, including requesting admissions and production.
  • Conduct factual research, including performing initial case assessments and document searches; creating and maintaining internal case databases; running searches on internal and external document databases and systems, as needed; culling relevant information from a variety of resources such as newspapers, magazines, libraries, case documents and trade associations.
  • Manage and utilize automated litigation support tools, including, but not limited to, database management software (web repository or in-house), CaseMap, Text Map, Relativity, Westlaw, and Lexis. Performs research (factual, legal, internet and other) to identify issues.
  • Review and draft routine legal documents, including, but not limited to, various initial pleadings, answers, document requests and responses, interrogatories and other discovery, summons and affidavits.
  • Understand mechanics of e-filing and e-files with courts. File pleading and documents with state and federal courts and agencies, including organizing briefs, exhibits and appendices as well as ensuring proper compliance with notification rules, distribution of files and courtesy copies.
  • Prepare witness and matter materials for case preparation. Organize interview memos, digests and other relevant documents for attorney review and case preparation. Assist in preparing selected witnesses for trial.
  • Assist attorneys in preparation for depositions, gather and prepare documents, organize exhibits, take notes and handle exhibits during the deposition, digest transcripts.
  • Assist with hearing and motion practice, including assembling all relevant documents, proofreading papers, organizing exhibits and creating document indices in the preparation of motion filing.
  • Identifying and contacting experts who may help in a case.
  • Assist with trial preparation and trials. Organize exhibits, files and all other supporting documents, coordinate trial set-up and logistics. As requested, assist attorneys in the courtroom by taking notes, handling exhibits, and marking documents referred to by counsel. Operate trial support software.
 
 YOU HAVE:
  • A minimum of 3-5 years’ litigation experience as a paralegal required. Labor and Employment experience preferred.
  • Bachelor's Degree and/or Paralegal Certificate (or equivalent experience)
  • High level of experience with all Microsoft Office programs.
  • Ability to learn internal firm related client technologies, software and websites; manage and maintain clients sites, group collaboration sites and calendaring sites; and, contribute to improving functionality of technology.
  • Exceptional organizational and investigative skills; a self-starter; highly motivated; adaptable; flexible; detail-oriented worker; able to prioritize deadlines.

  • Ability to cite check and Blue Book legal briefs and pleadings.
  • Ability to prepare exhibits and demonstratives for depositions and trial.
  • Experience e-filing and manual filing legal pleadings. Strong ability to work independently and follow through on projects with minimal supervision.

As a Labor Relations Legal Analyst you will support our national labor practice and will be responsible for responding to Unfair Labor Practice (ULP) charges, conducting research projects and providing strategic support on various labor relations matters. You will work alongside top labor attorneys in the field, gain hands-on experience in high-profile labor relations matters and engage with leading corporate clients across multiple industries.

 

THE DAY-TO-DAY:

On any given day you will:

YOU HAVE:

  • 7+ years’ litigation experience as a paralegal required. Labor and Employment experience preferred.

As a Regional Billing Manager, you will participate in daily billing and collections work for the firm, establish and communicate expected service levels in keeping with firm standards and goals, make decisions about billing attorney assignments, coordinate workflow and seek additional assistance, as needed.   • Mentor and coach staff. Provide professional development opportunities to them and seek them for yourself. Ensure that all billers understand our billing system’s functionality and use it appropriately. Ensure the core values of the firm are reflected in the billing staff.
  • Develop process and procedure and present ‘best practice’ and cross training sessions for the team.
  • Take ownership for escalated billing related issues from attorneys, assistants and the Billing team.
