THE OPPORTUNITY:

The Administrative Services Coordinator supports the Office Administrator, local HR Manager and other office leaders by providing administrative support for their day-to-day responsibilities. Acts as a liaison to other Departments and provides back-up support to Office Receptionist. This is hybrid with 4 days onsite.

 

THE DAY-TO-DAY:

On any given day you will:

  • Assist in planning and coordinating internal and external office events, working directly with vendors and/or firm functional areas as necessary under direction of Office Administrator
  • Plan office engagement activities, work on event planning with Firm’s Business Resource Groups
  • Assist HR Manager with pre-hire tasks, initial on-boarding meeting, office tour, scheduling 90 day check in meetings, OnBase filing
  • Assist Office Administrator and HR Manager during evaluation season,
  • Process office invoices and expense reports, handle issues related to Chrome River
  • Maintain and update the office inSeyt page
  • Coordinate and oversee office popups, social and office engagement events
  • Update office lists (birthday, anniversary, new baby announcements, “Who to Call”, notary commision)
  • Maintain electronic Boston Bulletin Board, assist with office charitable events
  • Assist with logistics on firm roll-out programs and training sessions
  • Order baby gifts, funeral flowers, as requested
  • Manage the process for attorney bio photos for the office
  • Process mail for terminated employees
  • Serve as a point of contact for employee questions and a liaison to other departments
  • Draft, review and revise office email and written communication and documentation
  • Forward pertinent and time-sensitive information to Operations or Building Services
  • Provide back-up and break time coverage for Reception; meet and greet visitors to the office as needed
  • Assist OA with other tasks and special projects as requested

 

YOU HAVE:

  • Bachelor’s degree or equivalent experience.
  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems.
  • Demonstrates excellent and effective interpersonal and communication skills, both verbally and in writing.
  • Ability to take direction, work independently as well as effectively within a team.

THE OPPORTUNITY:

As a Billing Coordinator, you are responsible for all aspects of drafting and finalizing client invoices for a group of dedicated attorneys.

 

THE DAY-TO-DAY:

  • Coordinate with Partners, Attorneys and Secretaries to manage time entries and edits, adjustments, write-downs, rate management and bill posting.
  • Work directly with e-billing team to ensure that invoices that require electronic invoices are submitted timely.
  • Preparation and processing of high quality invoices. Prepare invoices in customized formats as required by clients and Partners. Perform override calculations and changes. Initiate requests for supporting documentation and review for accuracy.
  • Help to coordinate follow up on outstanding WIP and receivables. Work with assigned Partners to actively address aged unbilled fees and costs.
  • Assist Collections team with identification and reconciliation of payments received.
  • Provide basic financial data and analysis.
  • Work with billers and attorneys in other offices as needed.
 

YOU HAVE:

  • College degree preferred or equivalent work experience
  • 3-5 years of legal billing experience
  • Experience with Aderant strongly preferred
  • Proficiency in basic Microsoft Office
  • Excellent oral and written communication skills
  • Ability to prioritize effectively

Chicago: The full-time salary range for this role is $68,000 – $83,000 annually, which is based on a 35-hour work week.

THE OPPORTUNITY:

As a case assistant in the firm’s dynamic and diverse, Labor and Employment Practice you will focus on immigration compliance projects including Form I-9 and E-Verify issues, as well as support with government investigations.

 

THE DAY-TO-DAY:

On any given day, you will be working with our Immigration Compliance Group's attorneys, team members, outside vendors and clients. You will:

  • Multi-task in a fast-paced, deadline-driven environment
  • Navigate complex technology platforms efficiently, including electronic I-9 systems. 
  • Work on the employment eligibility matters which includes auditing, monitoring and training assignments as well as other related Form I-9 and E-Verify tasks
  • Support attorney involved Department of Homeland Security, Homeland Security Investigations (HSI)
  • Review and analyze Form I-9 and other data for investigations to identify trends and other concerns
  • Conduct research, draft responses for Department of Justice and Department of Labor as well as state agency investigations, draft detailed declarations, document review and gather and assemble supporting evidence and documentation
  • Take thorough and clear notes during witness/employee interviews and investigative meetings
  • Support attorneys with routine tasks including file organization, tracking tasks, deadlines and updates to clients and attorneys
  • Communicate effectively in writing and verbally, as appropriate for the needs of the audience
  • Use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, and approaches to problems
  • Demonstrate strong time management and organizational skills
  • Consistent with firm and applicable client guidelines, accurately track and enter billable and non-billable time, on a daily basis, into the firm’s timekeeping system

THE OPPORTUNITY:

As the Firmwide Director of Legal Recruiting you will oversee the recruiting function for all U.S. and international attorneys, including partner recruiting. You will work closely with firm leadership to provide strategic direction for all attorney recruiting including, but not limited to: lateral and entry level hiring; strategic sourcing; direction and planning; day to day management and professional development of the legal recruiting team; relationship building with recruits, search firms, and vendors; budget planning; and industry research.  You will report to the Chief Human Resources Officer and work closely with the Department Chairs, Office Managing Partners and Hiring Partners in each office to help recruit and hire the best attorney talent.  This highly visible position will serve as a trusted advisor to the Department Chairs, Office Managing Partners, and Hiring Partners pertaining to the lateral recruiting efforts of the Firm.

 

THE DAY-TO-DAY:

On any given day, you will be working with firm leadership, partners, and business colleagues on a variety of requests and projects. You will:

  • Drive the Firm-wide lateral recruiting strategy to attract, hire and retain top candidates in relation to the hiring directives set by Firm leadership.
  • Partner with Department Chairs, Office Managing Partners, and Hiring Partners to develop and implement relationships with search firms and other lateral sources.
  • Utilize data and analytics to tell a story around hiring strategy and trends.
  • Manage the lateral recruiting focused resources on the larger legal recruiting team.
  • Drive our diversity goals for recruiting by partnering with the Inclusion & Diversity Office to develop and maintain working relationships with diverse sources of talent.
  • Operate and strategize, understanding the unique hiring nuances, competitive landscape and marketplace climate of each of the cities where we have offices.
  • Oversee the lateral hiring process, including preparing, updating, and managing the correspondence of offer letters, reviewing offers for consistency and uniformity, and conducting due diligence.
  • Build and execute a compelling and consistent Firm-wide employment brand across social media, video channels and industry organizations in order to improve candidate experience and build awareness for employment opportunities.
  • Own the creation and implementation of lateral recruiting campaigns by region and function consistent with the Firm’s message.
  • Maintain a pulse on recruiting trends in the legal profession and beyond.
  • Exercise strategic and creative thinking in uncovering new lateral hiring sources outside of traditional search firms and referrals.
  • Formulate, administer and maintain recruiting policies, operational procedures and practices consistent with the goals and objectives of the Firm.
  • Develop and manage annual recruiting and attorney employment functions and hiring budgets; investigate, analyze and budget for new recruiting initiatives; and develop and analyze recruiting related expense reports.
  • Oversee the lateral hiring projections/forecasts/targets for the annual budgeting process and monitor against targets throughout the year. Ensure the regular maintenance of, and contribution to, attorney applicant databases for purposes of applicant tracking, NALP reporting, and reference checking.
  • Coach, mentor and develop a professional recruiting staff while fostering a diverse, inclusive environment
 

YOU HAVE:

  • A bachelor's degree and a minimum of 10 years of law firm recruiting experience with a minimum of 5 years’ experience at the director level, including strong experience in partner recruiting.
  • Previous experience managing a team or individuals.
  • A strong knowledge of the legal market and professional relationships in local legal city groups and other organizations related to the legal industry.
  • Excellent analytical and creative problem solving skills, an ability to meet deadlines while handling multiple and shifting priorities and the ability to communicate effectively with others.

You will work closely with firm leadership to provide strategic direction for all attorney recruiting including, but not limited to: lateral and entry level hiring; strategic sourcing; direction and planning; day to day management and professional development of the legal recruiting team; relationship building with recruits, search firms, and vendors; budget planning; and industry research.  You will report to the Chief Human Resources Officer and work closely with the Department Chairs, Office Managing Partners and Hiring Partners in each office to help recruit and hire the best attorney talent.  This highly visible position will serve as a trusted advisor to the Department Chairs, Office Managing Partners, and Hiring Partners pertaining to the lateral recruiting efforts of the Firm.

THE DAY-TO-DAY:

On any given day, you will be working with firm leadership, partners, and business colleagues on a variety of requests and projects. You will:

  • Drive the Firm-wide lateral recruiting strategy to attract, hire and retain top candidates in relation to the hiring directives set by Firm leadership.
  • Partner with Department Chairs, Office Managing Partners, and Hiring Partners to develop and implement relationships with search firms and other lateral sources.
  • Utilize data and analytics to tell a story around hiring strategy and trends.

  • Own the creation and implementation of lateral recruiting campaigns by region and function consistent with the Firm’s message.
  • Maintain a pulse on recruiting trends in the legal profession and beyond.
  • Exercise strategic and creative thinking in uncovering new lateral hiring sources outside of traditional search firms and referrals.
  • Formulate, administer and maintain recruiting policies, operational procedures and practices consistent with the goals and objectives of the Firm.
  • Develop and manage annual recruiting and attorney employment functions and hiring budgets; investigate, analyze and budget for new recruiting initiatives; and develop and analyze recruiting related expense reports.
  • Oversee the lateral hiring projections/forecasts/targets for the annual budgeting process and monitor against targets throughout the year. Ensure the regular maintenance of, and contribution to, attorney applicant databases for purposes of applicant tracking, NALP reporting, and reference checking.
  • Coach, mentor and develop a professional recruiting staff while fostering a diverse, inclusive environment

YOU HAVE:

  • A bachelor's degree and a minimum of 10 years of law firm recruiting experience with a minimum of 5 years’ experience at the director level, including strong experience in partner recruiting.
  • Previous experience managing a team or individuals.
  • A strong knowledge of the legal market and professional relationships in local legal city groups and other organizations related to the legal industry.

  • Serve as a subject matter expert on project teams, perform data analysis and research assignments, documents results, make recommendations regarding information governance, and make oral presentations and written recommendations relating to these topics.
  • Design procedures to support Firm policies, client expectations, legal requirements and regulatory guidelines related to the governance of information. Develop and maintain documentation describing related Standard Operating Procedures (SOPs).

Design and implement quality controls to ensure information is securely transferred to and from external sources in a timely manner.
  • Oversee the “wall” technology used to secure information contained in the document management system and other firm repositories. Monitor software vendor website and ensure that timely upgrades are performed on system. Perform periodic audits of user access rights, including ancillary systems not connected directly to the “walls” technology.
  • Oversee the management of the legal hold process and coordinate the identification, collection and production of potentially responsive information in compliance with established policies and procedures.
 

YOU HAVE:

  • A bachelor's degree or equivalent experience
  • Five years of work experience in a law firm or professional services environment is preferred. Three years of hands-on data analysis experience is preferred.
  • Prior Supervisory experience is preferred.

THE DAY-TO-DAY:

On any given day, you will be working with firm leadership, partners, and business colleagues on a variety of requests and projects. You will:

  • Assist attorneys in all phases of preventing, initiating, or defending lawsuits against business clients. This involves investigation, legal research, social media research, site visits to client facilities, data and document review, factual development, assisting with depositions, mediation, arbitration, and jury trials.
  • Interface with clients and witnesses in furtherance of factual development and other case needs.

  • Work with other Seyfarth Labs team members to execute RPA initiatives by analyzing and designing process workflows, building, testing, implementing RPA solutions
  • Design, develop and configure simple, medium to complex robotic process automations per business process and requirements documentation

THE DAY-TO-DAY:

On any given day, you will:

  • Document and distribute minutes for Benefits Committee and Pension Committee meetings and keep notes for other meetings
  • Process all benefit vendor invoices and reconciliation
  • Respond or route questions from internal email inbox
  • Assist with Open Enrollment and annual retirement plans audit
  • Process benefits enrollment and auditing
  • Process ad-hoc benefits enrollment vendor updates
  • Maintain job descriptions for each position in the organization; ensure descriptions accurately reflect the work being performed by incumbents

  • Gather data from market-based compensation surveys using spreadsheet and data analysis techniques to assess results and market trends

YOU HAVE:

  • A bachelor's degree preferred or equivalent work experience
  • At least two years of experience in finance, human resources or benefits/ compensation required; preferably in a law firm or other professional services environment.
  • General knowledge of law firm operation, policies and procedures
  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems

As the Senior Practice Development Manager, you will play a key role in managing and implementing the business development, marketing, and practice management activities of multiple firm-wide practice groups and several department-wide initiatives. The Senior Manager reports directly to the Director of Practice Development in the Labor & Employment Department and plays an active role in the development and implementation of key practice group initiatives and programs and is responsible for managing the activities of project stakeholders to ensure successful and on-time execution.

The Senior Practice Development Manager is a trusted advisor that supports and works in collaboration with the L&E Practice Development Director and Department Chair to coordinate various projects required to implement priorities within the context of the Firm and the Department.  The L&E Department is the largest in the firm and is an industry leader in labor & employment practice.

 

THE DAY-TO-DAY:

On any given day you will:

  • Support the Director of Practice Development and Department Chair for the LE Department in the creation of strategic plans for practice and business development that promote the growth and expansion of the LE Department. Responsible for managing the implementation of projects of varying complexity supporting the strategic plans; this involves acting as the liaison to and project manager of attorney and allied professional teams (e.g., Finance, IT, Talent Development) related to practice/marketing/business development efforts.
  • Act as a trusted right hand to Director of Practice Development, managing implementation of key initiatives with a careful balance of collaboration and autonomy.
  • Act as a key liaison between the Practice Development department and assigned practice groups and leaders, facilitating the execution of business development and marketing strategies, and contributing to the agenda setting for practice group meetings.

Work closely with practice group leaders to set agendas, manage sophisticated projects, and ensure the successful implementation of business plans for assigned Practice Groups. 
  • Lead and manage key projects within aligned practice groups, ensuring milestones are achieved and projects are delivered on time and in alignment with firm-wide objectives.
  • Collaborate with the Director of Practice Development and the Department Chair to plan and execute key internal meetings, including annual Partner Retreats and full-department updates/meetings/offsites.
  • Oversee the development of marketing materials, pitches, and communications for assigned practice groups, ensuring consistency with the firm’s branding and strategic messaging.
  • Serve as key contact for the department on its experience management database working with aligned practice groups to build and maintain representative case and matter descriptions.
  • Partner with Director on brand-building opportunities for practice groups and the department.
  • Partner with Director on Department communications and ensures strong and consistent messaging from regular communications with all Department members.
  • Contribute to the league table submission process as needed for assigned practice groups.

THE OPPORTUNITY:

As the Service Desk Lead, you will participate in the Service Desk in a supervisory role. Interpret and provide details regarding service desk performance metrics and customer service surveys and make recommendations for improvements. YOU HAVE:

  • Minimum 4-5 years of general IT support experience in the legal environment
  • Team Lead or Supervisory/Management experience with excellent leadership and customer service skills
  • Experience with Microsoft Windows 10, Microsoft Office 2010, and various mobile email devices (iOS, Android, etc.) within a professional services organization
  • Basic knowledge of hardware (desktop/laptop) deployment methods using an image deployment tool

  • Oversee the firm’s employee advocacy program promoting engagement with individuals and practice groups and educating the firm on the importance of employee advocacy to enhance the reputation of the firm and individuals.
  • Work closely with colleagues across departments including media relations, design & branding, video, digital marketing, events, alumni, DEI, and recruiting to ensure cohesive and integrated marketing strategies.
  • Provide personalized coaching to lawyers for their social media brand development, ensuring alignment with the firm’s digital presence. Develop and present information to business units and internal groups that help educate and inform them on social media effectiveness, personal and business brand promotion strategies, and firm communications efforts. An employee’s pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, geographical location and business or organizational needs. This job is also eligible for an annual merit increase and bonus pay.
